Converting your TOPPSoft data for use in other programs

Summary: Many windows programs have the ability to read data files using dBase III (DBF) file formats. Programs such as Microsoft Access, Excel, Word, and others can read DBF files directly allowing you to create custom reports, mailing labels, etc. Using the Clarion Converter, it is simple to create DBF files from your sales, inventory, and customer data.

Important note #1: Use of programs outside of the TOPPSoft Program Suite is outside the scope of our standard support. If you need assistance creating templates or documents in third party programs, we can offer this assistance for a fee. Please refer to our fee schedule for more information.

Solution:

CAUTION: Be sure to backup any files you change in case you need to recover them any time in the future. If you are unsure about how to backup your files, contact an experienced computer professional for assistance.

Important note #2: To successfully complete this procedure, you need to know where your files are stored on your main computer.

1. Using the Windows Key as a shift key, press WinKey-R.

2. Under Windows 9x or ME, type command. Under other windows versions, type cmd. Press the OK button.

3. Navigate to your TOPPSoft Installation Directory. For most people, this would be C:\CT>. If you are on a network, the drive letter might be different. For example, if your TOPPSoft Programs are on the network at F:\CT, you would type:

C:\windows> F:
F:\> CD \CT
F:\ct>

4.Type CCVT and press enter. If you receive the message 'ccvt is not recognized as an internal or external command, operable program or batch file.', you will need to download it from http://toppsoft.com/util/ccvt.exe and save it into your TOPPSoft directory. Once you have it, you should see this screen:

5. For Input Type, use the left and right arrows to highlight Clarion and press enter.

6. For input file, you can either enter the filename directly, or leave the field blank and press enter for a list. Depending on which file you intend to convert, you should select as follows:

  • Customers - CUSTOMER.DAT
  • Store Inventory - ACCS.DAT
  • Product Catalog - CATALOG.DAT
  • Invoice Summary - SALESHD.DAT
  • Invoice Detail - SALESLN.DAT

7. After selecting the file you wish to convert and pressing enter, you might be presented with a popup asking for the owner ID for the file. In all cases, the owner ID is PRINTER.DAT. Note that the owner id is case sensitive (upper case) and you can't see what you are typing. The owner id will repeat until it is typed in correctly or you cancel by pressing Escape.

8. For Output Type, use the left and right arrows to highlight dBaseIII and press enter.

9. Enter a name for the output file. The Clarion converter will automatically add .DBF to the end of the name unless you specify a different extension.

10. Source file is automatically skipped. Press enter to begin the conversion.

11. To use the file, open it in the program of your choice. You will find it with the other TOPPSoft files in the name you specified in step 9.
